Complete Cross-Border Returns and Refunds Guide: What to Do When Problems Arise

The Most Important Point: Prevention Is Better Than a Cure

The outcome of a cross-border return depends almost entirely on whether you have evidence. Because the item travels a long distance and passes through multiple carriers, it is difficult to prove afterward where the problem occurred. Take photos when ordering, when the item reaches the warehouse, and when you receive it to cover most disputes. Also note that a shopping platform's “7-day no-reason return” period is counted from the delivery or signature date. Much of that period may be used up while the parcel is in consolidated shipping, making this the most common deadline trap for cross-border returns.

3 Prevention Essentials

1Vet Sellers Before Ordering

Check the seller's rating, total sales, and actual buyer photos. Be especially cautious with sellers that have low ratings or prices far below market value, as the latter are often associated with counterfeit goods.

2Use Photos and Inspection

The HowBridge warehouse provides basic inbound photos for free. You can also purchase an inspection service; contact online support for pricing details. The problem must be found within the seller's return window so there is still time to request an exchange or refund.

3Assess High-Value Item Risk

Cross-border shipping naturally carries a greater risk of impact and compression than domestic delivery. For high-value or fragile items, consider shipping in separate batches, reinforcing the packaging, and choosing a shorter shipping route. Keep complete photo and video records when ordering and receiving the items.

5 Cross-Border Return Scenarios

Case 1: Not as Described (Common)

The item differs from its listing photos, is the wrong size, has lower quality than described, or is a different model

  1. Photograph the unboxing at the warehouse (required), and purchase an inspection if needed
  2. Contact the seller on the shopping platform as soon as possible and submit a return or exchange request
  3. Seller approves the return or exchange → send it to an address in China under the platform's rules (the buyer usually pays shipping) → seller ships a replacement
  4. Seller refuses the return → request official platform arbitration (“item differs from listing photos” is usually easier to prove)
  5. If arbitration fails → use HowBridge's logistics dispute assistance service (assistance with evidence photos and communication only; no payment handling)

Case 2: Damaged/Lost in Transit

Broken glass bottles, crushed or deformed items, damaged outer cartons, or an entire carton lost

  1. Take photos immediately upon delivery (outer carton, shipping label, and item condition)
  2. Contact HowBridge support as soon as possible, explain the situation, and submit the photos
  3. Support will help contact the carrier to request information and report the issue
  4. If an item is lost, the carrier will begin a tracing process
  5. The method and amount of any compensation are subject to the carrier's shipping terms and case-by-case determination

Case 3: Customs Return/Seizure

Noncompliant goods, incomplete documents, or an incorrect declaration

  1. After receiving a customs notice in the EZ WAY APP, file an objection or appeal by the deadline stated in the notice
  2. Items subject to mandatory inspection → apply for a personal-use inspection exemption or complete the relevant registration (this will add processing time and warehousing costs)
  3. Absolutely prohibited goods, such as illegal drugs or counterfeit goods → handled according to regulations and cannot be recovered through an appeal
  4. Choose return shipping → the item is returned to the original seller, and the shipment owner pays the return shipping cost (based on the actual quote)
  5. Incorrect declaration information → ask HowBridge to assist with corrections

Case 4: Damaged High-Value Items

High-value goods such as luxury items, 3C electronics, and cosmetics damaged during shipping

  1. ⚠️ HowBridge does not currently offer shipment insurance or declared-value protection; assess the shipping risk of high-value goods before sending them
  2. Take complete photos immediately upon delivery, including the outer carton, shipping label, and close-ups of the damage
  3. Keep the purchase invoice, order page, and images of the item's serial number or brand label
  4. Contact support as soon as possible so it can help report the issue to the carrier
  5. Any compensation is subject to the carrier's shipping terms and case-by-case determination; full reimbursement cannot be guaranteed

Case 5: Forwarder Handling Error

A parcel is consolidated under the wrong customer, omitted, sent to the wrong address, lost during consolidation, or mislabeled

  1. Contact HowBridge support immediately
  2. Provide the order number, parcel tracking number, and all relevant photos
  3. An internal system audit will be conducted by reviewing warehouse photos and comparing shipping lists
  4. If the issue is confirmed to be our error, we will issue a refund, reship the parcel, or reimburse shipping costs as appropriate
  5. Compensation may be requested for more serious errors and will be assessed case by case

Evidence Tips (Critical)

Whether a cross-border return succeeds depends heavily on having complete evidence. These are the 3 essential times to take photos:

1Order Screenshot (Overlooked)

Take screenshots of the checkout page, product photos, price, specifications, seller promises, and order number. If a dispute arises later, these screenshots document what the seller promised.

2Warehouse Arrival Photos

The HowBridge warehouse provides basic inbound photos for free. You can also purchase an inspection; contact online support for pricing details. The key is to find any problems within the seller's return window.

3Delivery Photos (5 Key Shots)

① Full view of the outer carton, including the shipping label ② Close-up of any outer-carton damage ③ Unboxing photo showing the packaging ④ Close-up of item damage ⑤ Item serial number or brand label. The sooner you submit them, the better.

Customs Return Appeal Channels

After customs decides to return a shipment, you may file an objection by the deadline stated in the notice. There are three channels:

EZ WAY APP “Objection”:Submit the objection directly in the APP and attach supporting documents.
Customs Administration Appeal:Submit a written objection with the commercial invoice and product photos.
Ask HowBridge Support:Our staff members who are familiar with the process can help you prepare documents and handle follow-up communication.
Common Successful Customs Appeal Scenarios
  • Declared value was assessed too high → provide the original invoice and request reassessment
  • Item was incorrectly classified as subject to mandatory inspection → provide proof of the product specifications
  • Personal-use goods were incorrectly treated as commercial imports → provide a personal-use declaration and previous purchase records
  • Incorrect CCC tariff classification → provide the product manual and request reclassification

Refund Process and Timing

Refund processing times vary by situation and payment method. The actual timeframe is subject to the operating rules of each platform, carrier, and payment provider.

Illustration: Refunds return to the original payment method under each platform's and carrier's rules.
Item Not as Described:The refund is processed under the shopping platform's rules and returned to the original payment method.
Transit Damage or Loss:The carrier will assess the claim under its shipping terms. Processing time depends on the progress of its investigation.
Return After Customs Rejection:After the item is returned to the seller, the seller will issue a refund under the platform's rules.
Complex Dispute Arbitration:Disputes involving platform arbitration take longer to process, with the timeframe determined case by case.

※ For cross-border payments or credit card reversals, the actual posting time also depends on the card issuer's processing schedule.

Cross-Border Return FAQs

Q1. Can I still return an item to the seller if I only discover the problem in Taiwan?
It is more difficult. A shopping platform's “7-day no-reason return” period is usually counted from the delivery or signature date, and much of that time may be used up while the parcel is in consolidated shipping. We recommend: ① Purchase an inspection when the item reaches the warehouse so problems are found within the seller's deadline ② Unbox and inspect the parcel immediately after delivery; do not leave parcels unopened ③ If there is a problem, contact HowBridge support as soon as possible for help communicating with the seller (evidence preservation and communication only; no payment handling).
Q2. Is compensation available for shipping damage?
HowBridge does not currently offer shipment insurance or declared-value protection. Any compensation for shipping damage is subject to the carrier's shipping terms and case-by-case determination, and usually will not fully cover the item's loss in value. For high-value or fragile items, assess the risk before shipping: reinforce the packaging, ship in separate batches, choose a shorter shipping route, and take complete evidence photos immediately upon delivery.
Q3. Who pays the shipping costs after customs returns a shipment?
As a general rule, the shipment owner pays: ① the original shipping cost from China to Taiwan, which has already been paid ② the return shipping cost to China ③ warehousing fees during the hold period. The actual amount depends on the quote at that time and the length of the hold. If the return is confirmed to have been caused by the forwarder's handling error, such as an incorrect declaration, you may file a compensation request with HowBridge.
Q4. What should I do if the package forwarder loses my parcel?
Contact support immediately and provide the order number. The HowBridge system retains warehouse photos, shipping lists, and tracking records to help locate the parcel. If the issue is confirmed to be our error, we will issue a refund, reship the parcel, or reimburse shipping costs as appropriate. Additional compensation may be requested for more serious cases and will be assessed case by case.
Q5. Which international carriers can I use for a cross-border return?
Common options for returns to China include EMS, which is more convenient; commercial couriers, which are faster but more expensive; and ocean freight, which is cheaper but slower. Returns to Europe or the US generally use the local postal service's international shipping options. Note that cross-border return shipping often costs more than the item itself, so always consider whether the return is worthwhile before sending it.
Q6. Can I refuse delivery, and what happens if I do?
Technically, yes, but it is usually not recommended. After refusal, the parcel will be returned to the warehouse, and you will have to pay round-trip shipping and handling fees. If the item is genuinely defective or not as described, accepting delivery, photographing the evidence, and then filing a claim is usually more favorable than refusing it outright. Refusal is not recommended unless the entire carton is severely damaged.
